Health Resort Booking Enquiries: Why Price Questions Do Not Turn into Bookings
Guests who ask a health resort for a price often do not book because something other than the price is still unclear: the exact dates, how many people are coming, which package they chose or how payment works. A price and a date in the chat do not make a confirmed booking. The reservations team’s job is to find which practical question is still open in each enquiry and ask the guest one precise question.
An enquiry is not a confirmed booking
Most WhatsApp enquiries to health resorts and spa hotels start with the same question: “How much is it?” The reservations team sends a price, the guest replies “Thanks”, and the conversation stops. The chat contains a price, sometimes a date too. But there is no booking.
A confirmed booking usually requires all of the following to be agreed:
- Exact check-in and check-out dates, not “early August”.
- Number and makeup of guests: adults, children, children’s ages.
- Room type and occupancy.
- The chosen package, with the guest clear on what is included.
- Payment or deposit terms, accepted by the guest.
If any of these is missing, the enquiry is interest, not a booking. Agree on that distinction openly as a team. Otherwise “we had 40 booking enquiries this week” gives management the wrong picture, as actual bookings may be a small share of that.
The practical questions that stay open
When you read the chat, look at three groups of questions. The reason a booking stalls is almost always in one of them.
- Dates and length of stayDid the guest give exact dates? “When I get my leave” or “a week in July” is not a date yet. Length matters too: some packages are sold with a minimum number of nights, and the guest may not know that.
- Guests and roomHow many people, any children, how old? For a family, the number of beds and whether an extra bed is possible can matter more than the price. If that question went unanswered, the guest cannot decide.
- Package and payment termsWhich package does the price refer to? Are meals, treatments or transfers included? Does the guest understand the difference between two packages? If a deposit is needed, how is it paid and is it refundable? These often get left as “we’ll tell you later”.
This guide is about the booking process. No treatment outcome, medical recommendation or diagnosis should be promised in a chat. Refer such questions to a doctor.
Three illustrative enquiries
The enquiries below are illustrative examples. In each, the guest received a price and went quiet, but the open question is different.
- Dates unclearChat: “How much for 10 days in August?” Price sent. Open question: exact dates. Reservations message: “Which days in August would you like to start? The first half fills up quickly, so once I know the dates I can check availability right away.”
- Package not understoodChat: two package prices were sent; the guest replied “What’s the difference?” Then silence. Open question: the difference was never explained clearly. Message: “Here is the difference: the first package covers accommodation and meals; the second adds daily treatments. Which matters more to you?”
- Waiting for family approvalChat: “Let me talk to my husband and I’ll let you know.” Open question: a second person is involved in the decision. Message: “If it helps your conversation, I can send a short summary: dates, room, package and total in one message.”
None of these messages asks “Are you booking?”. Each fills the specific gap that is holding the decision back. The easier it is for the guest to decide, the faster the reply comes.
The reservations team’s next step
For every open enquiry, the team does two things: asks the guest one precise question, and checks booking status separately.
- One precise questionDo not send five questions in one message. Pick the most important gap, usually dates or number of guests, and ask only that. The rest will follow once they reply.
- Check booking status separatelyThe guest may have phoned to book, paid a deposit or spoken to a colleague. None of that may show in WhatsApp. Before following up, check the reservations list for that name.
- Record the outcomeGive every enquiry a simple status: “interest”, “waiting for dates”, “family decision”, “booking confirmed”, “declined”. At the end of the week, the spread of statuses shows where most enquiries get stuck.
For example, if many enquiries sit at “package not understood”, the issue is not the reservations team but how the price list is presented. A single table comparing packages side by side can save several rounds of messages.
Many of these open questions can be prevented in the very first reply. Send three short questions along with the price, so your next message can be a precise offer:
- “Which dates, and how many nights, are you thinking of?”
- “How many of you will be coming? If there are children, how old are they?”
- “Do you need accommodation only, or a package with treatments?”
Three questions may feel like a lot, but they help the guest too: once they answer, they get an exact total for their own family rather than a general price list. That shortens the path from “How much?” to a confirmed booking by several messages.
The general follow-up logic for when a price was sent and no reply came is in customer not responding after a quote. If reservations replied but the guest’s question remains, check whether the reply resolved it. Travel agencies face a similar situation: travel agency follow-up after a quote.
How to check your own chats with Chatdue
Chatdue connects to the resort’s WhatsApp number by QR code, only reads conversations, and for every enquiry produces a summary, what the guest wants, amounts mentioned and the sales stage. You can create your own analytics fields, such as “booking stage” or “open question”, to tag the statuses above automatically.
In this sector, many guests send voice messages. Those are transcribed, so dates and guest numbers said out loud are included in the analysis. The response time report shows enquiries arriving outside working hours and load by hour, which helps you decide whether an evening shift is worth it.
Set up a custom analysis for your reservation conversations. The 30-day free trial analyses 1,000 messages, and no card is required.
Frequently asked questions
- Is an enquiry complete once the price has been sent? No. Sending a price is your step, not the guest’s decision. An enquiry is complete only when the booking is confirmed or the guest clearly declines. Everything in between is an open enquiry that needs a next step.
- What if the booking status is not visible in the chat?Check your reservations system or list, because the booking may have been made by phone or another channel. If it is not there either, keep the status as “unknown” and ask the guest one precise question about dates or number of guests.
